Executive Assistant

Position Overview

This position’s primary focus is to partner with the Operations Director, in ensuring their schedule, projects and commitments are executed flawlessly. You’ll be responsible for making sure their team and contractors have a high-touch, intimate and professional experience with them.

This position will handle a variety of tasks that ensure the smooth daily operations of the business in the Operations department and companywide. The goal for this position is to perform administrative duties, assist with project management, and use strategic thinking to plan, anticipate, and resolve issues.

This position reports directly to the Director of Operations, while also working closely with key contractors and all members of the team.

This position involves working Monday – Friday. This position is primarily work from home, but there are times throughout the year we meet for in-person collaboration and for production projects. Some travel may be required.

Also, because our business uses an online live launch business model, a few times per year there will be the need to work additional hours on evenings and weekends preparing for program launches.

Duties & Responsiblities

Some of your responsibilities will include…

  • Management of administrative duties associated with finance, production, team resources & tools, culture, legal, and process management

  • Event calendar management, tool upgrades, and vendor management

  • Management of HR administrative duties

  • Benefits management

  • Contractor and vendor management

  • Manage celebrations for all team milestones

  • Manage all legal administrative tasks, filing and organization of contracts

  • Team GoogleDrive / GoogleSuite / Dropbox organization and management 

  • Process management

  • Team tools / resource management

  • Live launch support

  • Plan and coordinate Leadership quarterly/annual planning and retreat 

  • Management of the Operations Director’s Google calendar, appointments, travel, and any other commitments

  • Example duties include:

    • Helping plan and book travel

    • Ensuring Operations Director hits their deadlines

    • Always making sure the Operations Director is in the right place, at the right time

    • Working and collaborating with other key team members to schedule and execute new initiatives

    • Helping to set up meetings using Zoom

Skills & Abilities

The ideal candidate possesses the following strengths and skills:

  • 3 – 5 years of relevant experience as an executive assistant (preferably in a virtual environment).

  • Uses good judgement to act in the best interest of the organization and as a representative of the organization to employees, job candidates, and students.

  • Lives and breathes our company mission statement and core values.

  • Thirst for knowledge and deep understanding of company rocks, initiatives, and projects to support the entire team with process management and top notch communication. 

  • This position needs to look ahead and fully understand the projects and initiatives managed by other departments.

  • A strong ability to manage multiple responsibilities daily.

  • You’re a thinker and a doer. You don’t need to be told what to do — you’re innovative, resourceful, and able to anticipate what needs to get done. And you know when to ask for help.

  • You must be a self-starter with the ability to be productive from your home office. 

  • A positive, high-energy, and engaging attitude with a get it done mindset that searches for solutions instead of focusing on struggles are essential. You think about your work in terms of outcomes and results, not hours worked.

  • Highly organized and able to anticipate the next steps or questions that may arise from the Operations Director.

  • A high level of professionalism and emotional maturity.

  • Incredibly high follow through.

  • Detail is your middle name. You have high standards and mediocre is not a word in your vocabulary.

  • You’re invested in becoming the best you can be and excited to work with a fun lovin’ team who’s happy to help you get there!

  • Responsive and communicative. You know how to close the loop and confirm assignments are received and completed.

  • Technically competent and current. You must understand how to manage the following systems:

    • Working knowledge of Google Calendar + G Suite

    • Working knowledge of Zoom meeting

    • Working knowledge of Mac products

  • Excellent writing and verbal communication skills — you have a knack for putting ideas into words and ensuring everyone is on the same page.
